Privacy Policy

This Privacy Policy describes how Zenharmonic, a California S corporation (“we”, “us”), collects and uses personal information when you use Selected Credits (the “Service”). It applies to all users of the Service worldwide.

1. Information We Collect

1.1 Information you give us

• Account information — your email address and a hashed password.
• Profile information — your name, role (composer, music supervisor, etc.), social and platform links, photo, biography, and other details you choose to add.
• Portfolio and asset content — audio files, video files, images, written content, playlists, and other media you upload or create.
• Lead and contact records — film, TV, and game project data you import, plus contact details you record about people associated with those projects (names, emails, roles, notes).
• Outreach data — emails you send through the Service, follow-up notes, and interaction logs.
• Settings and preferences — UI configuration, defaults, audio skin choices, etc.

1.2 Information collected automatically

• Usage data — pages visited, features used, timestamps, and similar metrics. Used to operate, debug, and improve the Service.
• Device and connection data — IP address, browser type, operating system, device identifiers, language preference. Standard server-log information.
• Cookies and similar technologies — we use a small number of strictly-necessary cookies to keep you signed in and remember session state. We do not currently use third-party advertising or behavioral-tracking cookies.

1.3 Information about third parties

Some Service features (such as lead enrichment and outreach) involve recording information about people who are not Selected Credits users — directors, producers, agents, etc. You are responsible for ensuring you have the appropriate basis to record and use that information under applicable law (including privacy and anti-spam laws).

2. How We Use Information

• Provide, maintain, and improve the Service.
• Authenticate you and keep your account secure.
• Send transactional emails (password resets, contact-form notifications, visit notifications, billing receipts).
• Respond to your support requests.
• Detect, prevent, and address fraud, abuse, security incidents, and policy violations.
• Comply with legal obligations and enforce our agreements.
• With your consent, send product updates and announcements (you can opt out at any time via the unsubscribe link in any such email).

3. Legal Bases for Processing (EEA / UK / similar)

If you are in a jurisdiction with data-protection laws like the EU/UK GDPR, we rely on the following legal bases:

• Contractual necessity — to provide the Service you signed up for.
• Legitimate interests — to operate, secure, and improve the Service, in ways you would reasonably expect.
• Consent — for marketing emails or any optional features that explicitly ask for it. You can withdraw consent at any time.
• Legal obligation — to comply with applicable laws or respond to lawful requests.

4. Third-Party Service Providers

We use the following service providers to operate Selected Credits. Each receives only the information necessary for their role and is bound by their own privacy obligations.

We do not sell or rent your personal information. We will only share personal data outside this list when (a) you direct us to (for example, when you publish a portfolio publicly), (b) it is necessary to provide the Service, (c) we are legally required to, or (d) it is part of a business transfer (such as a merger or acquisition), in which case we will provide notice and continue to honor commitments made in this Policy.

5. International Data Transfers

Most of our service providers are located in the United States. If you access Selected Credits from outside the United States, your data may be transferred to and processed in the US. Where required, we rely on Standard Contractual Clauses or other appropriate safeguards for international transfers.

6. Your Rights

Depending on where you live, you may have the right to access, correct, export, restrict, or delete the personal information we hold about you, and to object to certain processing or withdraw consent. To exercise any of these rights, email us at support@selectedcredits.com. We will respond within the timeframe required by applicable law (typically 30 days).

You also have the right to lodge a complaint with your local data protection authority if you believe we have not handled your data properly.

7. Account Deletion and Data Retention

You may close your account at any time. When you do:

• Your data enters a 30-day wind-down window during which it is recoverable on request.
• After 30 days, your data is permanently removed from our active systems.
• Routine encrypted backups containing your data may persist for up to an additional 90 days before being overwritten.
• We may retain limited information longer if required by law (for example, billing records for tax purposes) or to protect against fraud.

8. Security

We use industry-standard measures to protect your data, including encryption in transit (HTTPS), encryption at rest for stored files, hashed and salted passwords, and access controls limiting who on our side can see what. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a security breach affecting your personal data, we will notify you and applicable authorities as required by law.

9. Children

Selected Credits is not directed to children under 13 (or under 16 in the European Economic Area / United Kingdom), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.

10. California Privacy Rights

Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), California residents have specific rights regarding their personal information, including the right to know what we collect and how we use it, the right to delete personal information, the right to correct inaccurate information, and the right to opt out of any “sale” or “sharing” of personal information as those terms are defined under California law. We do not sell or share personal information for cross-context behavioral advertising.

11. Marketing Communications

With your consent, we may send occasional product announcements and feature updates. Every marketing email includes a one-click unsubscribe link, and you can also opt out by emailing us. Transactional emails (password resets, billing receipts, security alerts, contact-form notifications you specifically subscribed to) will continue regardless of marketing-email preferences, because they are necessary to operate the Service.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify registered users by email or in-product notice. The “Effective” date at the top of this page reflects the most recent revision.
